- Manufacturing entity. Identify the factory that will perform the work and which parts, if any, will be subcontracted.
- Scope and specification. Attach the approved drawings, bill of materials, exclusions, applicable codes and acceptance criteria.
- Document applicability. Match each certificate or test report to its holder, location, standard, date and covered scope.
- Quality responsibility. Define inspection points, material traceability, records, third-party inspection rights and non-conformance handling.
- Delivery responsibility. State packing, Incoterm, transport, unloading, installation support, warranty and after-sales boundaries.

Questions buyers often ask
Does a company website prove who will manufacture my order?
No. The website is a public starting point. The quotation and contract should identify the legal counterparty, manufacturing location, subcontracted work and responsibility for quality and delivery.
How should I check a certificate?
Check the holder, issuer, certificate or report number, standard, scope, site address, issue and expiry dates, and whether it applies to the exact work being purchased.
Can an expired certificate be used as a current qualification?
No. An expired record may document historical activity, but it does not prove current certification. Request a current document and verify it with the issuer when the qualification matters.
What should control if a brochure and quotation differ?
The agreed project record should control: signed quotation or contract, approved drawings, BOM, specifications, exclusions, change orders and acceptance criteria.
