Cabin supplier comparisons often begin with photographs and a unit price. That is too early. A cabin that looks suitable online may not match the site’s climate, road access, utilities, lifting plan or local approval process.

Use a project brief first. Then compare current product documents, logistics and contract responsibility on the same basis.

Define the resort use before choosing a product

Tell suppliers how the units will be used. Include the expected occupancy, operating season, guest profile and any rooms or equipment required inside the cabin.

A useful first brief covers:

  • country, site location and intended use;
  • number of units under consideration;
  • occupancy per unit and preferred internal layout;
  • bathroom, kitchenette, furniture and equipment requirements;
  • accessibility needs, where applicable;
  • operating climate and seasonal use;
  • target opening period and delivery destination;
  • the work expected from the supplier, local contractor and resort operator.

Do not treat an online model name as a complete specification. Ask whether it is currently available and which document revision applies to the quotation.

Request a current model and configuration schedule

Each supplier should identify the exact product being offered. Ask for a dated specification sheet and a configuration schedule that covers:

  • external and internal dimensions;
  • transport dimensions and weight;
  • structure, wall, roof and floor build-up;
  • windows, doors and finishes;
  • bathroom and service equipment;
  • electrical and plumbing interfaces;
  • heating, cooling and ventilation options;
  • included furniture and appliances;
  • optional items and exclusions;
  • packing method and shipping configuration.

Descriptions such as "standard," "premium" or "fully equipped" are not enough. The signed configuration schedule should control the order.

Check the selling and manufacturing entities

Ask who will sign the contract, issue the invoice, manufacture the unit and provide warranty support. If these are different entities, request a written explanation of the relationship and responsibility chain.

Factory photographs or videos are useful only when the location, operator, date and connection to the quoted product can be verified. The same rule applies to certificates. Confirm the holder, product scope, site scope, issue date and expiry date rather than accepting a logo on a sales sheet.

Match the cabin to the site and climate

Give the supplier site information early. The project team should identify the local requirements and the design criteria that apply.

The review may need to cover:

  • wind, snow, seismic and temperature conditions;
  • rain, humidity, salt exposure or other environmental factors;
  • site elevation, terrain and drainage;
  • foundation concept and allowable tolerances;
  • road width, turning space, bridge or gate restrictions;
  • crane access, lifting radius and working area;
  • water, drainage, power, communications and other utility connections;
  • local planning, building, fire and hospitality approvals.

Ask the supplier to state which criteria are reflected in the quoted configuration and which remain the buyer’s or local consultant’s responsibility.

Plan the route before confirming the order

Transport feasibility can change the product choice. Map the route from the proposed shipping point to the site, including the final road and unloading area.

Confirm:

  • packed dimensions and weight of each shipment;
  • whether the unit ships whole, in modules or as loose components;
  • loading and securing method;
  • port and inland-transport responsibility;
  • route permits or escorts, if applicable;
  • unloading method and crane requirements;
  • temporary storage and weather protection;
  • damage inspection and claim procedure.

A supplier may coordinate part of this work, but the exact boundary belongs in the quotation and contract.

Separate the foundation, lifting and installation scopes

These tasks are connected, yet they are rarely covered by one vague word such as "installation." Build a responsibility table instead.

  • certificates with visible holder and scope information;
  • in-process and final inspection records;
  • packing and loading examples for the same transport method;
  • installation and maintenance documents;
  • authorized references for similar products in comparable conditions;
  • written warranty and after-sales terms.

If a document covers a different model, site or company, record that difference. Do not silently transfer the claim to the offered product.

Compare the landed scope, not only the unit price

The quoted unit price may leave out packing, inland transport, ocean freight, import costs, unloading, crane hire, foundations, utility connections, local labor and commissioning. Ask every bidder to use the same commercial template.

The comparison should show:

  • included product and options;
  • quantity and price basis;
  • packing and delivery terms;
  • freight responsibility and delivery point;
  • excluded site work;
  • spare parts or consumables, if any;
  • payment milestones;
  • quotation validity;
  • change and cancellation terms;
  • warranty and claim procedure.

This does not produce a universal "total cost." It shows which costs sit with which party, which is what the project budget needs.

Read the warranty as a process

A warranty needs more than a duration. Check the responsible entity, covered components, exclusions, start date, required maintenance, evidence for a claim, remedy, freight responsibility and response process.

Ask whether electrical equipment, appliances, finishes, structure and site workmanship have different terms. Local installation work may also sit outside the product supplier’s responsibility. Put those differences in writing before the deposit is paid.
