A commercial steel building quotation needs more than floor area and a reference image. The intended use, structural grid, loads, local requirements, enclosure and services interfaces all affect the proposal. So does the line between the supplier’s work and the work retained by the buyer or local consultants.
A useful RFQ gives suppliers one design basis and asks them to show every assumption.
Start with the building use and project location
State what the building will be used for. A showroom, exhibition hall, shopping space, public building and long-span event space may have different occupancy, circulation, facade and building-services requirements.
Provide:
- project country, city and site address or coordinates;
- intended use of each main area;
- expected occupancy or the occupancy basis supplied by the local design team;
- required clear spaces and any areas where columns are restricted;
- target schedule and delivery destination;
- known planning, height or site-access limits.
The project location matters because the governing code, environmental criteria and local approval process must be identified. The overseas supplier should not be asked to guess them.
Send the current drawings available
Issue current drawings with revision numbers. Depending on project stage, the package may include:
- site and general arrangement plans;
- floor plans, elevations and sections;
- structural concept or framing plans;
- grid lines, levels and clear-height requirements;
- facade and roof intent;
- stair, opening and equipment zones;
- interfaces with foundations and adjacent structures.
Mark documents as concept, tender or construction information. If drawings conflict, identify which document governs. A short drawing register can prevent hours of avoidable clarification.
If the project is still at concept stage, ask for a budget proposal with stated assumptions. Do not treat it as a final fabrication quotation.
Define dimensions, spans and column grids
Overall length and width are only the start. Suppliers also need the clear height, structural span, column grid, floor levels and any long-span or cantilevered zones.
Include crane, signage, facade, suspended equipment and roof-service requirements if they affect the structure. Large openings and future expansion zones should be marked as well.
Two buildings with the same floor area can require different structural systems. A comparable quotation therefore needs a common geometry and design basis.
Provide loads and the governing design criteria
The project engineer or other qualified party should provide the applicable criteria. The RFQ should identify, as relevant:
- governing structural and building codes;
- dead, imposed and equipment loads;
- wind, snow and seismic criteria;
- roof access and maintenance loads;
- hanging services, screens, ceilings or facade loads;
- load combinations and serviceability requirements;
- fire-resistance requirements that affect the structural scope.
Ask the supplier to repeat the criteria in the quotation. That makes omissions visible before price comparison begins.
Explain the enclosure, fire and MEP interfaces
Commercial buildings usually have more interfaces than a simple warehouse. The RFQ should explain what is required of the roof, facade, internal walls, fire strategy and building services.
Questions to settle include:
- Is the supplier pricing only the frame, or roof and wall systems as well?
- Who defines thermal, acoustic, waterproofing and fire performance?
- Are facade support steel and secondary framing included?
- Who coordinates openings, sleeves, hangers and equipment loads for MEP systems?
- Are doors, glazing, louvers, gutters or flashings included?
- Who designs and supplies fire protection for the steelwork, if required?
The answer may be "by others." That is acceptable when it is explicit and coordinated.
Set the engineering and approval boundary
Write down who is responsible for concept design, structural calculations, shop drawings, foundation reactions, local review, permits and engineer-of-record services.
Also define the approval path:
- Which documents will the supplier submit?
- Who reviews them?
- What status allows fabrication to begin?
- How are comments, revisions and schedule effects recorded?
Local-code compliance cannot be established by a generic website statement. It depends on the project criteria, the engineering scope and the authorities or professionals responsible for approval.
Use an inclusion and exclusion schedule
Ask every bidder to complete the same schedule. A practical version may cover:

Ask how members and accessories will be marked, packed and grouped. Confirm who handles freight, customs documents, unloading and site storage under the chosen commercial terms.
Request a quotation that can be audited
The quotation should identify:
- drawing and document revisions used;
- design criteria and assumptions;
- materials and finishes;
- included quantities or pricing basis;
- scope inclusions and exclusions;
- documentation supplied;
- packing and delivery terms;
- installation-support boundary;
- quotation validity and revision process;
- items awaiting confirmation.
When assumptions differ, ask bidders to revise against the same basis before comparing totals.
